We tested Otter.ai across three paid tiers (free, Pro, and Business) over 4 weeks in real working meetings. Each tester used Otter for different scenarios: a product manager attending daily stand ups and sprint reviews, a sales leader running client calls and demos, and a researcher conducting long interview sessions. In total, we tested across 40 meetings ranging from 15 minute quick syncs to 90 minute strategy sessions.

We evaluated Otter across 5 criteria: transcription accuracy and speaker identification quality, AI summary completeness and correctness, action item extraction reliability, integration stability with Zoom, Google Meet, and Teams, and overall value at each price point.

For accuracy testing, we manually reviewed transcripts from 20 meetings against the original audio recordings, noting word errors, speaker misattributions, and missed segments. We tested across diverse conditions including quiet conference rooms, noisy open offices, remote participants with varying microphone quality, and meetings with heavy technical vocabulary.

For AI summary testing, we compared Otter's generated summaries against hand written meeting notes from each participant, checking for missing key decisions, incorrect action items, and overall clarity. Each summary was rated on a 1 to 5 scale by at least 2 meeting participants.

Otter's free tier is the best among dedicated meeting transcription tools. At 300 minutes per month with a 30 minute cap per meeting, it covers roughly 5 to 8 meetings per week for a typical professional. By comparison, Fireflies offers a free tier limited to 5 meetings total. Fathom offers a free tier with no meeting limits but limited export and integration features. Otter's free tier gives you the full transcription experience with AI summaries, speaker identification, and search.

The 30 minute per meeting limit is the main constraint. Meetings that run over 30 minutes stop transcribing. For most quick check ins, stand ups, and client calls under 30 minutes, the free tier works perfectly. For longer strategy sessions, workshops, or interviews, you need the Pro plan or higher.

If your meeting load is under 10 hours per month of total transcription and most meetings are under 30 minutes, the free tier is sufficient. For heavy meeting users, the Pro plan at $16.99 per month (1,200 minutes) removes the per meeting time limit and adds valuable features like custom vocabulary and priority support.

Otter's transcription accuracy for English is the best we have tested among dedicated meeting transcription platforms. Across our 40 meeting test, we measured approximately 94 percent word accuracy in good recording conditions. This level of accuracy makes the transcript useful for review, search, and reference. Speaker identification worked reliably for up to 8 participants, with occasional drift when speakers changed microphones or positions.

Accuracy drops to approximately 85 percent in challenging conditions: heavy background noise, rapid overlapping speech in group discussions, strong regional accents, and technical vocabulary not covered by custom vocabulary settings. For most business meetings in conference rooms or over video calls with decent microphones, the accuracy is more than sufficient.

Non English transcription is the weakest area. Spanish, French, and German transcription accuracy measured around 75 to 80 percent, significantly behind Fireflies.ai which handles multilingual transcription more consistently. If your meetings mix multiple languages or are primarily in a language other than English, Fireflies or Fathom are better choices.

Otter's AI summaries are good enough to give you the gist of a meeting in 30 seconds. They capture the main topics discussed, list key decisions, and extract action items. For straightforward meetings like status updates, client check ins, and syncs, the summaries are accurate approximately 85 percent of the time.

The summaries struggle with complex meetings. In technical discussions with nuanced trade offs, the AI sometimes misses the reasoning behind a decision and only captures the outcome. In negotiation or sensitive conversations, the summary may miss emotional context and relationship dynamics that are important for follow up. Fast paced brainstorming sessions produce summaries that feel generic and often omit the most creative ideas.

Action item extraction is more reliable. Otter correctly identifies and lists action items approximately 80 percent of the time. The main failure mode is missing action items that are implied rather than stated explicitly, such as 'someone should look into the pricing issue' without an explicit assignee. For teams that rely on action items to drive work, Otter is useful but should not be fully trusted without review.

Knowledge workers who attend 5 to 15 meetings per week are Otter's core audience. Product managers, project managers, engineering leads, and operations professionals who need to remember decisions, track action items, and reference past discussions will find Otter indispensable once integrated into their workflow.

Sales professionals who want call transcriptions for deal review and coaching will benefit, though enterprise sales teams may prefer Gong or Chorus for deeper analytics, conversation scoring, and battle card integration. Otter is better for general meeting notes than specialized sales intelligence.

Teams that already use Zoom, Google Meet, or Teams will find Otter's automatic calendar sync and meeting joining seamless. The collaboration features including shared folders, comments, and highlights work well for team environments where multiple people need access to the same meeting notes.

Enterprise sales teams that need conversation intelligence with scoring, sentiment analysis, objection handling insights, and coaching tools should choose Gong or Chorus. Otter provides transcription but lacks the deep analytics that revenue teams depend on for deal coaching and pipeline analysis.

Teams that meet primarily in languages other than English should choose Fireflies.ai, which offers significantly better multilingual transcription and search across Spanish, French, German, Portuguese, and other languages. Otter's non English accuracy is not yet production ready for many use cases.

Organizations with strict data retention and compliance requirements should carefully evaluate Otter's data storage defaults. Transcripts are stored indefinitely unless manually deleted or auto delete policies are configured on Business plans. For regulated industries, Gong or Fathom may offer more granular data controls out of the box.
